Overview:

We are currently seeking a highly organized and dependable Sales & Marketing Coordinator to support day-to-day marketing and communications initiatives across the organization. The ideal candidate will be detail-oriented, proactive, and comfortable managing multiple priorities while ensuring marketing and routine communications are executed accurately, consistently, and on schedule.

Duties & Responsibilities:

Sales Support

  • Assist the Sales team with day-to-day administrative tasks and reporting
  • Prepare and maintain sales documents, price lists, and community information
  • Support model home and presentation centre operations
  • Assist with maintenance of Client Management Systems
  • Coordinate appointments, meetings, and client communications

Marketing Support

  • Assist with execution of marketing campaigns, promotions, and launches
  • Coordinate with designers, agencies, and internal teams on marketing materials
  • Maintain website, listings, signage, and digital assets as directed
  • Support social media, email campaigns, and community marketing initiatives
  • Help manage photography, renderings, and marketing collateral

Client Care & Experience

  • Serve as a point of contact for clients during the pre- and post-sale process
  • Support communication between clients, sales, design, and construction teams
  • Assist with organizing client meetings, selections appointments, and documentation
  • Help ensure a smooth, professional, and positive customer journey

Design Coordination

  • Support the Design team with scheduling and administrative tasks
  • Assist with selections documentation and tracking
  • Help prepare client-facing design materials and presentation packages

Systems Administration & Reporting

  • Maintain accurate data in CRM, ERP, sales tracking, and reporting systems
  • Generate reports for Sales & Marketing Manager as required
  • Ensure consistency and organization across internal systems and files
  • Support continuous improvement of processes and workflows

Requirements:

  • Post-secondary education in Marketing, Business Administration, Communications, or related field
  • 2+ years of experience in a coordinator, marketing, sales support, or administrative role
  • Strong organizational and time-management skills
  • Excellent written and verbal communication abilities
  • Detail-oriented with the ability to manage multiple priorities
  • Proficient in Microsoft Office / Google Workspace; CRM experience an asset
  • Comfortable working in a fast-paced, deadline-driven environment

  • Support project teams in the preparation of monthly cost reports, accrual summaries, and variance flags for internal operations reviews.
  • Support job cost forecasting by coordinating with project teams and flagging key risks or anomalies.
  • Assist with continuous improvement of administrative and financial workflows within the construction team.
  • Act as a subject matter resource for cost system use, data structure, and coding accuracy.
  • Provide reporting and analytical support to senior management for project performance tracking and strategic decision-making.
  • Support team members as it relates to cost control tools and procedures.

Requirements and Qualifications:

  • Minimum 5 years of experience in cost control, project accounting, or project administration within a construction or engineering environment.
  • Strong knowledge of job costing principles, cost code structuring, and operational reporting.
  • High proficiency in Microsoft Excel; experience with ERP systems (e.g., Vista), SharePoint, and construction software.
  • Proven experience in cost control, job cost analysis, or project support in a construction setting.
  • Strong technical capabilities with data analysis, reporting, and system workflows.
  • Ability to manage competing deadlines in a fast-paced operational environment.
  • Self-starter with the ability to lead internal processes and support multiple project teams.
